Job Summary:

Prepares and coordinates the Surgery Schedule with the Assistant Nurse Manager or designee along with other departments; Anesthesia, Radiology, Central Scheduling, and Pain Management. Schedules cases with physician office staff and physicians in a fast paced environment. Displays excellent communication skills, is detail oriented, and has the ability to use independent judgment to ensure efficient Surgery Schedules.

Responsibilities:

  • Accurately schedules all surgical cases, including electives and add-ons.

  • Updates additional information to the surgery schedule as needed.

  • Utilizes block booking to provide efficient daily running of the surgery schedule.

  • Communicates changes to physician offices, surgery center, and P.A.C.C.

  • Notifies physician offices of start times.

  • Refers special requests, i.e., instrumentation, laser, specialty needs to appropriate personnel.

  • Coordinates schedule with radiology for adequate case coverage and special requests (needle localization).

  • Notifies and schedules outside resources (cell saver, laser, ESWL) for individualized case requests by physicians.

  • Ensures availability of resource before scheduling the case.

  • Accurately enters patient charges into the financial system.

  • Understands the need for timely entry.

  • Corrects errors through the appropriate venues as errors are identified.

  • Works in coordination with the materials management coordinator for items and pricing not in the chargemaster. Utilizes the chargemaster for pricing needs; maintains a current chargemaster in the department for reference.

  • Provides the surgery schedule for distribution in a timely fashion.

  • Reviews draft of schedule for additions, corrections, and abbreviations prior to printing of schedule.

  • Compiles statistics and prints reports as requested.

  • Completes case closures in a timely manner.

  • Ensures correct entry of data into closing system for accurate statistics.

  • Maintains a neat and Organizational work area.

  • Ensures appropriate functioning of copiers, fax machine, and computers required for daily operations.

  • Orders supplies as needed to support functions of the department.

  • Files and maintains OR chart, billing sheets, and implant records as requested.

  • Follows computer downtime procedures.

  • Other duties as assigned.

Education:

  • High School Diploma or GED required.

Certifications:

  • None required.

Complexity of Work:

  • Requires critical thinking skills, decisive judgment, and the ability to work with minimal supervision.

  • Must be able to work in a stressful environment and take appropriate action.

Work Experience:

  • Five years recent clinical practice to include to include at least two years healthcare management required.

  • Demonstrated knowledge, skills and experience in ambulatory and inpatient care coordination.

  • Excellent oral and written communication and organizational skills, analytical abilities and leadership expertise required.

Physical Requirements:

  • Long periods of sitting, typing and viewing C.R.T.s for computer entry process.

Personal Protective Equipment:

  • Follows Standard Precautions using personal protective equipment as required for procedures.
